Job description

The Role The Project Coordinator owns the organization and execution of the programs LCFA's Development Team sells to corporate sponsors, foundations, and partners. Once a sponsorship or program is secured, you will take it from kickoff through completion: building the deliverables checklist and timeline, coordinating the internal team and outside vendors, tracking every commitment, keeping sponsors informed, and producing the status reports and fulfillment recaps that show our funders exactly what their investment accomplished. You will keep our CRM and shared drives orderly and current, help draft the standard operating procedures that make program delivery repeatable, and work closely with program, communications, and production staff so that nothing falls through the cracks. This is a role for someone early in their career who takes real satisfaction in a clean tracker, a meeting that ends with clear action items, and a sponsor who never has to ask twice. You do not need to have spent your career in nonprofits: we welcome candidates coming from project or program coordination, account or client services, event coordination, media production, or operations roles who want to apply those skills to a mission. You will be expected to learn the science we fund and the patient education and public awareness campaigns we run well enough to coordinate them confidently, and to bring structure and follow-through to a growing development team. What You Will Do Program execution and delivery Coordinate sold programs from kickoff through completion, including task tracking, workflows, deadlines, and outcome reporting. Build and maintain a deliverables checklist for each sponsor agreement, and confirm that every commitment is fulfilled, documented, and reported. Maintain program timelines, roadmaps, and milestone trackers; monitor progress and surface risks or delays early so they can be resolved before they affect a sponsor. Stakeholder coordination and communication Serve as the day-to-day point of contact for sponsors, vendors, and internal staff on program logistics, ensuring timely updates and appropriate follow-up on every request. Schedule and prepare for program meetings; capture notes, decisions, and action items and drive them to closure. Coordinate with marketing, content, and production partners to gather and route assets, approvals, and sponsor recognition placements on time. Reporting and stewardship support Prepare status reports, program recaps, and sponsor fulfillment reports that are accurate, on time, and easy to read. Gather program outcomes, metrics, and stories from program staff to support sponsor reporting and renewal conversations led by the Development Team. Budget and invoicing Track program expenses against approved budgets and flag variances. Ensure invoices are generated, confirm payment is received, and keep financial records for each program current in coordination with the allotted budget. Maintain project management workspace Build, configure and maintain project workspaces and shared drives organized and up to date with program records, contacts, assets, and status. Draft and adhere to SOPs, templates, and checklists that make program delivery consistent and repeatable. Use AI and other productivity tools thoughtfully to speed up tracking, drafting, and reporting while maintaining accuracy and attention to detail. Continuous improvement Identify friction in existing workflows and propose refinements to trackers, templates, and processes that improve quality or reduce cycle time. Take initiative in troubleshooting and creative problem solving to keep programs on track. What You Bring Required 1–3 years of professional experience in a coordination - or execution-focused role, such as project or program coordination, account or client services, event coordination, media production, or operations. Demonstrated ability to manage many moving pieces at once and see them through to completion without dropped details. Working understanding of project timelines, milestone tracking, and roadmaps; familiarity with Gantt charts or similar tools is a plus. Proficiency with Google Workspace, spreadsheets, and project management software; comfort adopting AI tools in daily work. Clear, concise written and verbal communication, with the professionalism to represent LCFA to sponsors and vendors. Highly organized, reliable, and accountable; able to work independently in a remote environment and know when to escalate. Curiosity about science and the ability to learn and explain the basics of lung cancer research and treatment. Bachelor's degree or equivalent practical experience. Preferred Nonprofit, sponsorship fulfillment, or program delivery experience Experience with budgeting, expense tracking, or invoicing Podcast, social, or broadcast media production experience Background in health care, patient advocacy, or medical research
