Job description

We have multiple open roles at the moment. Please submit an application for the role you feel you are the strongest fit for. You will have the opportunity to declare interest in other roles below, and we will consider your application for all the roles you express interest in.

About the role

We're a new AI safety organization called Quorum. Our mission is to advance research and public understanding of the safety and societal implications of emerging technologies, with a particular focus on artificial intelligence. We run the Summit on Existential Security, the AI Horizons Forum and will be building a portfolio of events for the AI safety ecosystem.

Our events have a strong track record of impact by facilitating critical connections and strategic coordination among people working on AI safety. As a result of our events, attendees have founded new organizations, launched new research initiatives, expanded their teams, and secured funding for their projects. Attendees consistently report that the events are a better use of their time than the counterfactual, and senior figures in AI safety regularly pause their day-to-day work to participate.

We’re hiring Project Managers to oversee the many workstreams our events involve, from venues and vendors to budgets, logistics and the systems behind them. We’re looking for capable generalists who can hold these together and make sure each event is delivered well. You would likely be managed by a more experienced project manager on your team. More senior project managers would be managed by portfolio owners.

Responsibilities

This role spans several areas. Which ones you focus on depends on your strengths and the team's needs at the time. The bullets below describe the standard version of the role; what a more senior version looks like is set out under Growth opportunities.

Event delivery

  • Translate high-level event strategy into a production plan; choosing a venue, the vendors, and designing a run of show built around what the event is trying to achieve.

  • Contribute to event design as a thought partner, drawing on experience of what works in practice.

Team coordination and project management

  • Organize the team around shared deadlines and structure workflows to optimize delivery across workstreams.

  • Maintain and improve project management systems (e.g., Asana) with clear milestones and interdependent workflows.

  • Support team members in meeting deadlines, help debug issues, and manage contractors.

  • Coordinate information flow between delivery team members, venues, and vendors to ensure alignment.

Venue management

  • Evaluate venues against event requirements, budget constraints, and project scope, proposing shortlists and a first-choice recommendation with clear rationale.

  • Lead and finalize contract negotiations independently, optimizing cost-effectiveness while maintaining quality standards.

  • Serve as the primary point of contact with venues, coordinating delivery requirements and ensuring all venue needs are met.

Production and logistics

  • Own the event budget end-to-end, proactively identify cost optimization opportunities, and coordinate directly with our operations on budget scope and trade-offs.

  • Source, manage, and coordinate external vendors including transport, security, AV, signage, and catering.

  • Plan and coordinate technical production requirements, including room layouts, AV setups, and onsite inventory management.

  • Serve as the primary point of accountability for onsite logistics, handling complex issues independently (e.g., insurance problems, vendor failures) and acting as the expert others consult.

Growth opportunities

We're scaling quickly, and we'd expect the role to scale with us. If you perform well and we keep growing at this pace, you could progress to Senior Project Manager. We may also hire more experienced candidates directly into that role.

As a Senior Project Manager, you would:

  • Own delivery for a flagship event end-to-end, holding the budget and acting as the final call onsite.

  • Get more involved in event design, working with program-focused colleagues and the organizations we build events with to shape what an event is trying to achieve.

  • Manage several associates supporting delivery across our events.

  • Hold our most significant venue and vendor relationships, and lead the negotiations that set our cost base.

  • Set the standards and systems others produce events from, so quality doesn't depend on who is running the event.

Further out, this could grow into owning delivery across a whole portfolio, managing several associates and the production standards behind every event in it. How quickly any of that happens depends on how fast we grow and where your strengths lie.

About you

You might be a great fit if you:

  • Have strong production and logistics expertise. You can reliably execute complex event production, from venue selection and vendor management to onsite coordination, with light oversight.

  • Excel at project management and organization. You can coordinate multiple workstreams, manage detailed timelines across stakeholders, and keep teams aligned and on track.

  • Have excellent communication and relationship skills. You can build productive relationships with venues, vendors, and team members while maintaining professionalism and high standards.

  • Thrive in a fast-paced, high-standards environment. You're energized by the responsibility of delivering world-class events and are comfortable making decisions about production matters within your scope.

  • Have AI safety context (or are eager to build it). You understand or are motivated to learn about the AI existential risk landscape and the impact our events aim to generate.

  • Take ownership and are proactive. You investigate problems, propose solutions, and push things forward without waiting to be asked.

  • Stay calm and solve problems under pressure. You can handle complex issues independently when things go wrong onsite or offsite; you're the person others turn to when they need an answer, and you’re happy to be that broker.

  • Build processes to scale. You turn what works into clear systems and documentation, improve them over time, and build systems that don’t depend on any one person.

  • Help teams work well together. You can organize people around shared deadlines, help colleagues and contractors get unstuck, and keep information flowing so everyone knows what they need to do.
