Job description
About Avaaz Avaaz is an international campaigning and advocacy organization that provides its global membership of almost 70 million people with opportunities to make our world a better place. We’re one of the world’s largest online global campaigning movements, with people from every corner in the world taking action to close the gap between the world we have and the world most people everywhere want. This includes protecting human rights worldwide, supporting indigenous struggles, saving our planet from climate change and other threats, and fighting to stop disinformation and other cyber threats from undermining our democracies. Our model enables people to channel their voices into a powerful collective force at tipping point moments to impact the pressing global challenges of our time, from climate and ecological collapse to human rights abuses and the dismantling of democracy. Avaaz is funded through small donations from individual Avaaz members, no big money from governments or corporations. This keeps us independent and allows us to keep a laser focus on doing what the world needs. Position Overview This role serves as the operational engine across recruitment, onboarding, performance, and offboarding. It is critical to ensuring that our people systems, workflows, documentation, and staff lifecycle processes run smoothly, consistently, and efficiently. Additionally, this role is a foundational support layer for the wider organization, partnering closely within the People & Culture team and beyond to manage the team inbox and apply internal policies within a fast-paced, globally distributed, and highly collaborative environment. By taking ownership of talent execution, performance cycle support, systems administration, and frontline staff inquiries, this role increases the team's operational capacity and ensures our people frameworks are responsive, user-friendly, and culturally aligned. Core Responsibilities Recruitment & Talent Execution Coordinate and execute recruitment processes, including candidate screenings, interviews and assessment processes to ensure a high-quality candidate experience. Support the implementation of the updated recruitment framework, strengthen the hiring pipeline and build a reliable pool of candidates for critical roles. Manage the Applicant Tracking System (Pinpoint) and coordinate interview schedules and candidate communications to ensure a seamless hiring lifecycle. Embed Diversity, Equity, Inclusion, and Accessibility (DEIA) principles into all hiring workflows and candidate evaluations. Foundational Support, Policy Application & Inbox Management Manage the P&C shared inbox, acting as a reliable operational point of contact for staff questions and process guidance. Apply established policies in low-complexity scenarios and daily tasks. Create simple "how-to" guides, checklists, and clear, user-friendly procedures. Provide guidance on staff questions and process-related concerns, identifying and escalating highly sensitive cases to the relevant People & Culture director. Performance & Staff Lifecycle Support Coordinate and support the execution of performance review cycles, including managing review tools and documentation to ensure consistent and timely completion. Coordinate and execute the administrative and systems workflows for staff onboarding and offboarding, ensuring a smooth and consistent experience throughout the staff lifecycle. Systems, Efficiency & Process Management Manage and optimize core People & Culture systems and tools - including ATS (Pinpoint), Knowledge Management System (Notion), and Project Management Tool (Asana) - to drive efficiency and streamline workflows. Gather, collate, and analyze data from various P&C systems to identify trends and provide accurate reporting for recruitment metrics and performance calibrations. Required Experience Full-cycle recruitment, including directly conducting candidate screenings and interviews. Frontline employee support, managing shared inboxes, and applying internal HR policies. Administering performance review cycles and coordinating staff lifecycle processes (onboarding/offboarding). Managing administrative processes and HR systems with high attention to detail. Working in remote, international, fast-paced, and highly collaborative environments. Experience handling sensitive and confidential information, such as performance data and employee relations, with sound judgment. Skills & Qualities Strong interpersonal and candidate assessment skills, coupled with high emotional intelligence. Clear, empathetic, and professional communication skills, with the ability to translate complex policies into simple, user-friendly guides. Exceptionally organized with strong follow-through, process discipline, and reliability. Calm, responsive, and solutions-oriented under pressure, capable of addressing and resolving low-stakes team conflicts. Comfortable managing multiple workflows simultaneously across recruitment, performance, and daily staff queries. Strong systems mindset with an orientation toward driving efficiency and streamlining workflows. Collaborative, low-ego, and highly dependable team player. Able to work independently, proactively manage priorities, and accurately judge when to escalate high-risk issues. Strong Plus Proficiency using Pinpoint (or similar global ATS), Notion, Google Workspace and Asana. Demonstrated experience embedding Diversity, Equity, Inclusion, and Accessibility (DEIA) principles into hiring and candidate evaluation workflows. Experience extracting, collating, and analyzing data to provide reporting on recruitment metrics and performance calibrations. Familiarity with global or multi-country remote team dynamics.
