We’re looking for a detail-oriented, highly organized Operations Coordinator to help keep Third Act’s fundraising, financial, and operational systems running smoothly. In this part-time role, you’ll work across development, finance, and operations—supporting fundraising systems, maintaining accurate database records, coordinating payments and reimbursements, and ensuring the behind-the-scenes processes that power our work are efficient and reliable. The ideal candidate enjoys creating order from complexity, is comfortable managing multiple priorities, and takes pride in building systems that help a mission-driven team succeed. Key responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the following essential functions: Development Operations Support the planning and execution of fundraising calls & events, including logistics, coordination, and follow-up. Manage incoming organizational mail, including processing donor contributions, depositing checks, and routing correspondence to the appropriate team members. Maintain accurate donor, volunteer, and constituent records in organizational databases. Identify opportunities to improve development workflows, systems, and operational efficiency. Finance & Operations Support Process reimbursements, vendor payments, invoices, and expense documentation in a timely and accurate manner. Support financial administration for Third Act’s volunteer Working Groups, including expense requests, payment cards, and budget tracking. Coordinate travel requests, reimbursements, and related administrative processes for staff. Assist with expense coding and financial recordkeeping to support accounting and reporting. Monitor operational workflows and recommend improvements that strengthen financial systems and organizational processes. Provide general administrative and operational support as needed. Required qualifications: 2+ years of experience in operations, administration, finance, development, project coordination, or a similar role. Exceptional organizational skills and meticulous attention to detail, with a track record of managing multiple priorities simultaneously. Experience maintaining accurate records, databases, or financial information with a high degree of accuracy and confidentiality. Strong written and verbal communication skills and the ability to coordinate effectively across multiple teams. Proficiency with Google Workspace (Docs, Sheets, Drive) and comfort learning new software and systems. Ability to work independently, manage competing deadlines, and proactively identify solutions to operational challenges. Preferred qualifications: Experience working with volunteers over 60 years old Experience supporting fundraising operations or maintaining donor databases (Action Network, Bloomerang, ActBlue, etc). Experience processing invoices, reimbursements, expense reports, or other financial transactions. Familiarity with accounting or expense management software (e.g., Ramp, QuickBooks, or similar).
