How to Apply for Product Operations Manager

at Playlab

๐Ÿข About Playlab

Playlab is a tech non-profit on a mission to help educators and students become critical consumers and creators of AI, with over 100,000 educators already publishing apps on its platform. Its open-source, community-driven approach treats AI as a new design material for learning, making it a uniquely mission-driven place to work at the intersection of education and technology.

About This Role

As the connective tissue across Playlab's Product organization, you'll build and improve systems, documentation, and coordination channels so engineers, PMs, and designers can focus on shipping great products. You'll also support hiring across Product, working directly with Product leadership to scale the team as Playlab grows its impact in education.

๐Ÿ’ก A Day in the Life

A typical day might involve reviewing and refining product team rituals, updating documentation for a new hiring process, and coordinating with Product leadership on team planning. You'll also troubleshoot a coordination bottleneck, onboard a new PM, and ensure the product org has the insights it needs to make decisionsโ€”all while working remotely and asynchronously.

๐ŸŽฏ Who Playlab Is Looking For

  • You have 3-5 years in product operations, program management, or a similar cross-functional role, ideally in a fast-growing startup or mission-driven tech organization.
  • You're a systems thinker who can spot a process breaking down before it becomes a problem and proactively design lightweight solutions that scale.
  • You have experience supporting hiring or recruiting coordination for product teams and are comfortable working with Product leadership on team planning.
  • You're passionate about education and AI, and you thrive in a remote, async-first environment where clear documentation and communication are essential.

๐Ÿ“ Tips for Applying to Playlab

1

Show you understand Playlab's community-driven, open-source model by referencing specific examples of how you've built systems that empower technical teams in similar environments.

2

Demonstrate your ability to 'see around corners' by sharing a concrete story where you identified a process breakdown early and implemented a fix that prevented a larger issue.

3

Highlight any experience you have supporting hiring or onboarding for product/engineering teams, as this is an unusual and important part of the role.

4

Emphasize your comfort with remote, async work and your toolkit for documentation, coordination, and knowledge management (e.g., Notion, Linear, Slack).

5

Connect your personal motivation to Playlab's mission of equitable AI in educationโ€”mention any prior work or volunteer experience in education or non-profits.

โœ‰๏ธ What to Emphasize in Your Cover Letter

Focus on: (1) your track record of building scalable product operations systems from scratch, (2) your ability to partner with Product leadership on hiring and team scaling, (3) your proactive, 'see around corners' approach to preventing process breakdowns, and (4) your genuine passion for Playlab's mission to democratize AI creation in education.

๐Ÿ’ฌ Prepare for These Interview Topics

Based on this role, you may be asked about:

1 How would you design the product operations function at Playlab from the ground up, given its remote-first and open-source community context?
2 Tell us about a time you spotted a process breakdown before it became a major issue and how you addressed it.
3 How would you support hiring across a distributed Product organization while maintaining a strong candidate experience?
4 What tools and rituals would you implement to keep engineers, PMs, and designers aligned and productive in a remote setting?
5 How do you balance building new systems with hands-on execution when resources are limited?

โš ๏ธ Common Mistakes to Avoid

  • Focusing only on generic operations experience without tailoring it to the unique needs of a product organization at a mission-driven non-profit.
  • Ignoring the hiring support aspect of the roleโ€”many candidates overlook this, but it's a key responsibility.
  • Underestimating the importance of remote-first, async communication skills; assuming a traditional office environment will translate directly.
