How to Apply for Finance and Operations Manager

at Impact Ops

๐Ÿข About Impact Ops

Impact Ops is a unique operations support organisation serving the effective altruism (EA) community, offering nonprofit consultancy, finance, HR, and optimisation services. Working here means directly enabling high-impact projects to focus on their core missions while you build robust financial and operational foundations. The remote-first, UK-based setup offers flexibility and a mission-driven culture that values efficiency and altruism.

About This Role

As Finance and Operations Manager, you'll own the full financial and operational machinery of Impact Ops, from bookkeeping and payroll to compliance and HR. You'll manage month-end close, management accounts, cash flow, VAT returns, and corporation tax submissions, while also running UK payroll and coordinating international payments. This role is pivotal in ensuring that Impact Ops and its supported projects operate smoothly and remain compliant, directly contributing to the effectiveness of the EA community.

๐Ÿ’ก A Day in the Life

A typical day might involve reconciling transactions in Xero, preparing management accounts, processing payroll, and reviewing a contractor agreement. You could also coordinate with international contractors on payments, update insurance renewals, and ensure compliance with HMRC deadlines. The remote setup means you'll communicate via Slack and video calls, balancing independent work with collaborative problem-solving.

๐ŸŽฏ Who Impact Ops Is Looking For

  • Fully qualified or part-qualified accountant (ACA, ACCA, CIMA, or equivalent) with strong hands-on experience in bookkeeping, month-end close, and preparing management accounts.
  • Proven expertise in UK payroll, VAT returns, and corporation tax submissions, with the ability to coordinate international payments and understand cross-border financial nuances.
  • Experience in company secretarial duties, statutory compliance, insurance renewals, and maintaining corporate records, ideally within a nonprofit or social impact context.
  • Strong HR administrative skills, including managing Service Level Agreements, employment contracts, and contractor agreements, with a detail-oriented and proactive approach.

๐Ÿ“ Tips for Applying to Impact Ops

1

Highlight any experience you have with effective altruism or nonprofit financeโ€”Impact Ops values candidates who understand the EA community's goals and constraints.

2

Quantify your achievements in process improvements, such as reducing month-end close time or automating payroll, to demonstrate operational efficiency.

3

Show familiarity with UK-specific financial regulations (e.g., VAT, PAYE, corporation tax) and mention tools you've used (e.g., Xero, QuickBooks, Sage).

4

Emphasise your ability to handle both finance and HR/ops tasks in a remote setting, showcasing self-motivation and strong communication skills.

5

In your cover letter, explicitly connect your work to Impact Ops' missionโ€”explain how your financial stewardship enables high-impact projects to thrive.

โœ‰๏ธ What to Emphasize in Your Cover Letter

["Your hands-on experience managing the full finance cycle (bookkeeping to tax submissions) and how you've streamlined these processes for efficiency.", 'Specific examples of UK payroll, VAT, and corporation tax work, including any international payment coordination.', 'Your familiarity with nonprofit or EA-aligned organisations and your commitment to supporting impactful causes through operational excellence.', 'Your ability to juggle compliance, HR administration, and contract management in a remote environment, with a proactive and detail-oriented mindset.']

โš ๏ธ Common Mistakes to Avoid

  • Focusing only on corporate finance experience without addressing the nonprofit or EA contextโ€”Impact Ops seeks mission alignment.
  • Neglecting to mention UK-specific tax and payroll knowledge, as this is a core requirement.
  • Overlooking the HR and compliance aspects of the role by emphasising only financial tasksโ€”this position is a blend of both.
