How to apply for Buchhalter (m/w/d)
Malengo
About Malengo
Malengo is a nonprofit based in Germany that helps students from low-income countries earn a Bachelor's degree in a high-income country through mentoring and financial support. It is a small, international team, so each hire has direct influence on how the organization runs. The finance function supports that growth and must stay accurate as the organization scales.
About the role
This is an operational accounting role located in Germany and remote. About 85% of the time is running the books under HGB: recording, categorizing, reconciling, payables, receivables, monthly/quarterly/annual closings, VAT advance returns, and working with the external tax advisor and auditor. The remaining 15% covers operations and the ISA portfolio, with room to expand as Malengo grows.
A typical day
A typical day centers on recording and categorizing transactions, reconciling accounts and bank statements, and processing incoming and outgoing invoices and payments. Some days include VAT advance return work, preparing reports, or coordinating with the external tax advisor. The remaining time goes to operations tasks and the ISA portfolio, depending on what the finance team needs that week.
Who Malengo is looking for
- Has several years of hands-on German financial accounting experience and can run the complete bookkeeping cycle independently under HGB.
- Has prepared monthly, quarterly, and annual financial statements and worked directly with an external Steuerberater and Wirtschaftsprüfer.
- Knows VAT advance return (Umsatzsteuervoranmeldung) preparation and can keep a revision-safe, well-structured document filing system.
- Is comfortable with a remote setup, works in a small international team, and can also support payroll and HR admin tasks when needed.
Tips for this application
- State clearly in your CV or cover letter that you are based in Germany, since the role requires a Germany location.
- Quantify your bookkeeping experience: number of years, which accounting software you used, and how many transactions or entities you handled.
- Name specific HGB tasks you have owned: account reconciliation, bank reconciliation, VAT advance returns, and annual close preparation.
- Mention any direct experience working with a Steuerberater or Wirtschaftsprüfer, since the role lists that as a core task.
- If you have exposure to payroll (Lohnbuchhaltung) or HR admin, call it out, even if it is not your main focus.
What to cover in your cover letter
The cover letter should address four points: your hands-on HGB bookkeeping experience and how you keep the books clean and on time; your experience with monthly, quarterly, and annual closings plus VAT advance returns; your track record working with external tax advisors and auditors; and your interest in supporting operations and the ISA portfolio in a small nonprofit setting. Keep it factual and short.
Draft a cover letterResearch before applying
- Read the Malengo website to understand how the nonprofit funds students and what the ISA portfolio is.
- Look up the German nonprofit accounting context, including how HGB applies to a gemeinnützige Organisation.
- Check whether Malengo has published annual reports or financial information, and note what is public.
- Prepare questions about the current finance stack, the size of the finance team, and who the external tax advisor is.
Likely interview topics
Based on the job description, expect questions about:
- Walk through how you run a monthly close under HGB, from transaction recording to reconciliation.
- How do you prepare and file Umsatzsteuervoranmeldungen, and how do you handle deadlines?
- Describe a time you worked with an external Steuerberater or Wirtschaftsprüfer during an annual close.
- How would you handle the split between 85% bookkeeping and 15% operations/ISA portfolio work?
- What accounting software and tools have you used, and how do you keep a revision-safe filing system?
Common mistakes to avoid
- Applying without showing concrete HGB bookkeeping experience, since the role is mostly operational accounting under HGB.
- Ignoring the Germany location requirement or being vague about where you are based.
- Treating the 15% operations and ISA portfolio work as unimportant, when the job description says it may expand.
Deadline
No deadline is listed. Roles without a deadline usually close once the employer has enough candidates, so apply soon if you are interested.
