How to Apply for RFP - Financial Management System Supply, Implementation Customization, Training & Suppor

at Adeso

🏢 About Adeso

Adeso hosts the NEAR Network, a movement dedicated to shifting power to local actors in humanitarian aid. As NEAR transitions to independence, you'll help build the financial infrastructure for a globally impactful, locally-led organization.

About This Role

This is a contract vendor role to supply, customize, and implement a cloud-based financial management system for NEAR's multi-country operations. Your work will directly enable transparent, compliant financial management across diverse donors and currencies, supporting local humanitarian action.

💡 A Day in the Life

Your day might start with a virtual meeting with NEAR's finance team to review customization requirements, followed by configuring the system for a new donor report. After lunch, you could conduct a training session for country office staff in a different time zone, then end the day troubleshooting a data migration issue.

🎯 Who Adeso Is Looking For

  • Proven track record implementing financial systems for international NGOs with multi-country, multi-donor, and multi-currency operations.
  • Deep expertise in donor compliance (e.g., USAID, ECHO, UN) and complex reporting requirements.
  • Strong technical skills in data migration, system integration (e.g., with HR, procurement), and customization of cloud-based ERP/FMS.
  • Experience providing training and ongoing support to non-finance staff in remote, cross-cultural settings.

📝 Tips for Applying to Adeso

1

Explicitly detail your experience with multi-entity, multi-currency financial management in an NGO context, not just generic ERP implementation.

2

Provide case studies or examples of similar RFP responses you've won, highlighting customization for donor compliance.

3

Show understanding of NEAR's mission by mentioning localization and how your system can support local partner financial reporting.

4

Outline a clear project plan with milestones, training approach, and post-implementation support tailored to a transitioning organization.

5

Include references or testimonials from previous NGO clients, especially those with complex multi-donor portfolios.

✉️ What to Emphasize in Your Cover Letter

['Your specific experience with financial systems for international NGOs in multi-country settings.', "How your solution addresses NEAR's unique needs: localization, donor compliance, and scalability for a growing network.", 'Your approach to training and change management for diverse, remote teams.', "Demonstrated understanding of NEAR's transition to independence and your ability to support that process."]

Based on this role, you may be asked about:

1 How would you handle data migration from legacy systems across multiple countries with different currencies?
2 Describe a time you customized a financial system for a complex donor reporting requirement (e.g., USAID, ECHO).
3 How do you ensure system adoption by non-finance staff in remote locations?
4 What is your approach to integrating the FMS with other enterprise systems (e.g., HR, procurement)?
5 How do you manage multi-currency transactions and exchange rate fluctuations in reporting?

⚠️ Common Mistakes to Avoid

  • Submitting a generic proposal without specific mention of multi-country, multi-donor NGO experience.
  • Overlooking the importance of training and change management for remote, culturally diverse users.
  • Failing to address the transition context – NEAR is becoming independent, so flexibility and scalability are key.
