Position Overview Project Knitwell is seeking an organized, dependable, and mission-minded Operations Assistant to provide vital administrative, financial, and programmatic support. Working closely with staff, board members, and volunteers, the Operations Assistant will help ensure smooth day-to-day operations and a positive experience for donors, partners, and program participants. Key Responsibilities Finance & Accounting Support Process invoices and support timely bill payments. Perform monthly bank reconciliations across organizational accounts. Manage administrative settings and user access for financial and fundraising platforms (PayPal, Network for Good, Quickbooks). Assist the Executive Director with documentation for annual state filings and board reporting. Administrative & Systems Support Manage incoming communications, email inquiries, mailings, and donor acknowledgments using Network for Good. Manage administrative settings and user access for Google Workspace and applications Create, organize, and maintain electronic filing systems and online documentation. Turn recurring operational tasks into clear systems, templates, guides, and workflows to improve efficiency. Provide general administrative support for staff and board special projects as needed. Communications, Outreach & Program Support Maintain accurate program records across shared systems, spreadsheets, databases, and calendars. Update and maintain the Project Knitwell website. Format and distribute digital newsletters via Network for Good. Assist with designing social media posts, flyers, posters, and promotional materials using Canva. Support the Volunteer Coordinator with data entry, volunteer tracking, imports/exports, and reporting in Civic Champs. Create and maintain volunteer recruitment posting on local volunteer listing sites with input from the Volunteer Coordinator. Serve as a first point of contact for routine participant, volunteer, and partner inquiries, routing complex or sensitive matters to the appropriate staff member. Qualifications & Requirements Required: Technical Proficiency: Experience with CRM databases (e.g., Network for Good, Civic Champs), Google Workspace, Microsoft Office (Word, Excel, PowerPoint), Zoom, and cloud storage systems. Organizational Skills: Exceptional attention to detail, strong time management, and the ability to balance competing priorities independently. Communication: Clear, warm, and professional verbal and written communication skills. Proactive Problem-Solving: Comfort working independently in a remote environment while knowing when to ask questions and report progress. Discretion: High degree of discretion and sound judgment when handling sensitive donor, financial, or participant information. Education & Experience: College degree preferred, or equivalent practical experience in administrative or operational roles. Preferred / Desirable: Previous experience supporting a non-profit organization, social service program, or volunteer network. Experience with platform management (e.g., Eventbrite, Salesforce, website platforms, or scheduling software). Basic graphic design and social media management experience.
