How to Apply for Manager, Databases & IT
at Active Minds
🏢 About Active Minds
Active Minds is the largest U.S. nonprofit mobilizing youth to transform mental health norms, offering a mission-driven culture where your technical work directly supports mental health advocacy. As a remote-first organization, you'll join a passionate team dedicated to creating real societal impact through programs like Send Silence Packing.
About This Role
This role is the technical backbone of Active Minds, ensuring their Salesforce ecosystem and IT systems empower fundraising, communications, and program delivery. You'll lead strategic database initiatives, customize Salesforce for automations and integrations, and provide hands-on support to staff, directly enabling the organization to scale its mental health mission.
💡 A Day in the Life
Start the day checking Salesforce system health and responding to urgent support tickets. Mid-morning, meet with the Development team to define requirements for a new donor campaign tracking dashboard. Afternoon dedicated to customizing Salesforce automations (e.g., workflow rules, flows) and then hosting office hours where staff drop in for IT help. End the day reviewing integration logs and preparing for the monthly IT committee meeting.
🚀 Application Tools
🎯 Who Active Minds Is Looking For
- A certified Salesforce administrator with 6+ years of experience, including NPSP/Nonprofit Cloud proficiency, who can architect solutions for development and program workflows.
- A data-savvy professional fluent in Google Sheets/Excel (Boolean logic, VLOOKUP) who can clean, transform, and analyze data from diverse sources.
- A collaborative leader who can facilitate monthly IT committee meetings, train non-technical staff, and translate business needs into technical requirements.
- A proactive problem-solver experienced with project management and digital asset management systems, ready to maintain system health and provide weekly office hours.
📝 Tips for Applying to Active Minds
Highlight your NPSP experience explicitly in your resume and cover letter, as it's a plus that sets you apart.
Quantify your Salesforce admin achievements, e.g., 'Automated X process, saving Y hours per week' or 'Managed Z integrations with third-party tools.'
Tailor your application to show understanding of nonprofit constraints (budget, scalability) and how you've optimized systems with limited resources.
Mention experience with project management tools (e.g., Asana, Monday.com) and digital asset management (e.g., Bynder, Widen) as these are core to the role.
Include a brief example of how you've trained non-technical staff on Salesforce, emphasizing patience and clear communication.
✉️ What to Emphasize in Your Cover Letter
["Express genuine passion for mental health advocacy and Active Minds' mission, connecting your technical skills to their impact.", "Detail your Salesforce expertise, especially NPSP, with specific examples of customizations, automations, and integrations you've implemented.", 'Showcase your ability to collaborate with department leaders (Development, Programs, MarComm) to translate their needs into database solutions.', 'Demonstrate your experience in leading committees or cross-functional teams, and your commitment to supporting staff through training and office hours.']

💬 Prepare for These Interview Topics
Based on this role, you may be asked about:
⚠️ Common Mistakes to Avoid
- Don't submit a generic application; failing to mention mental health or nonprofit experience shows lack of interest.
- Avoid overselling without evidence; vague claims like 'I'm great at Salesforce' without specifics (certifications, projects) won't convince.
- Don't ignore the remote aspect; show you're self-motivated and skilled at asynchronous communication and collaboration.
