How to Apply for Head of Support Services – Roster Various Countries

at WeWorld

🏢 About WeWorld

WeWorld is an Italian-based international NGO operating in 15 countries, including Italy, with over 120 emergency, humanitarian aid, and development projects focused on women, girls, and young people as agents of change. What makes WeWorld unique is its dual approach—responding to both natural and man-made crises while also implementing long-term development and rehabilitation programs—and its strong commitment to protecting the most vulnerable in complex, protracted emergencies. Working here means joining a dynamic, values-driven organization where you can directly contribute to building a fairer and more inclusive world.

About This Role

As a Head of Support Services on WeWorld’s roster, you will be deployed on short notice to fill critical gaps in country offices, typically overseeing finance, HR, logistics, administration, and compliance functions. You will report directly to the Country Representative and ensure that support systems are efficient, compliant with donor regulations, and responsive to the needs of humanitarian and development programs. This role is impactful because you will be the backbone of field operations, enabling rapid and effective assistance to communities in crisis.

💡 A Day in the Life

A typical day might involve reviewing financial reports and donor compliance, coordinating with the HR team on recruitment for a new project, troubleshooting logistics for a field office, and attending coordination meetings with the Country Representative and program managers. You could also be dealing with urgent issues like a sudden funding gap, a staff security incident, or a donor audit, all while ensuring that support services run smoothly to enable programs to reach beneficiaries effectively.

🎯 Who WeWorld Is Looking For

  • At least 7–10 years of experience in support services management (finance, HR, logistics, admin) in both development and emergency contexts, with a strong understanding of donor compliance (ECHO, EU, UN, USAID, etc.).
  • Proven ability to work under pressure, adapt to rapidly changing environments, and manage multi-cultural teams in hardship locations.
  • Demonstrated experience in setting up or strengthening support systems in country offices, including budgeting, procurement, and human resources.
  • Fluency in English and at least one other language (French, Spanish, Arabic, or Italian) is highly desirable; willingness to deploy to any of WeWorld’s countries of operation on short notice.

📝 Tips for Applying to WeWorld

1

Explicitly state your availability for short-term, short-notice deployments and list the countries or regions where you are willing to be deployed—this roster is specifically for gap-filling, so flexibility is key.

2

Highlight your experience in both emergency and development settings, as WeWorld works across the nexus; use concrete examples of how you managed support services during a crisis.

3

Tailor your CV to emphasize support services functions (finance, HR, logistics, admin) rather than program management, and quantify achievements (e.g., 'managed a $2M budget', 'led a team of 15 staff').

4

Mention any experience with WeWorld’s key donors (ECHO, EU, UN agencies, Italian Cooperation) and demonstrate knowledge of their compliance requirements.

5

In your cover letter, explain why you want to be part of a roster rather than a fixed-term position, and show enthusiasm for WeWorld’s mission and focus on women, girls, and youth.

✉️ What to Emphasize in Your Cover Letter

1. Your motivation for joining WeWorld’s roster and your commitment to its mission, especially its focus on women, girls, and young people. 2. Your specific experience in managing support services in emergency and development contexts, with examples of setting up systems in new or challenging environments. 3. Your flexibility and readiness to deploy on short notice to various countries, including hardship locations. 4. Your ability to work with diverse teams and donors, and how you ensure compliance while maintaining program agility.

⚠️ Common Mistakes to Avoid

  • Applying without clearly stating your availability for short-notice deployments—this roster is specifically for rapid gap-filling, so lack of flexibility will disqualify you.
  • Focusing your application on program management rather than support services; WeWorld needs a specialist in finance, HR, logistics, and admin, not a program manager.
  • Ignoring the emergency component of the role; WeWorld operates in both development and emergency settings, so only highlighting development experience is a mistake.
  • Using a generic cover letter that doesn’t mention WeWorld’s mission or the roster nature of the position—tailoring is crucial to stand out.
