About the role

The ERP Coordinator Intern supports Relief Applications' IT operations across project coordination, communication with service providers and administrative follow-up of IT processes. You will be the focal point for the IT needs of the Operations Team, Quality Assurance and other departments, and will help adapt and optimise our IT tools so they fit how the organisation actually works.

The internship runs for 6 months from 1 October 2026, reporting to the Head of Support Services, and is based at the Geneva Secretariat with the possibility of remote collaboration. You will work alongside the Operations team, Quality Assurance and external providers, and come away with a clear view of how IT is managed in the non-profit sector.

Key responsibilities

ERP implementation (IRMA / Odoo)

  • Assist in the day-to-day coordination of the IRMA/Odoo implementation project, ensuring effective communication between Relief Applications staff and external service providers.
  • Support the adaptation and implementation of Odoo functionalities to meet Relief Applications' operational needs, monitoring project timelines, deliverables and follow-up actions.
  • Assist in testing new Odoo functionalities and system updates, documenting results and reporting any issues identified.
  • Organise project meetings: prepare agendas, take minutes and track action points.
  • Prepare regular project updates and progress summaries for the Head of Support Services.
  • Assist with ERP implementation and with drafting and organising technical documentation.

IT coordination and communication

  • Handle day-to-day IT requests from the Operations Team and other departments.
  • Suggest how those requests should be prioritised within existing projects, where appropriate.
  • Liaise with external IT service providers to ensure issues are resolved on time.
  • Facilitate communication between Relief Applications staff and external providers on technical matters.

Administrative follow-up

  • Help keep records of IT licences, software subscriptions, contracts and service agreements accurate and well organised.
  • Track renewal dates and ensure timely technical and administrative follow-up with providers.
  • Support procurement processes for IT-related services and tools.
  • Assist in maintaining the inventory of IT equipment and support asset allocation and tracking.

IT procedures and documentation

  • Assist in reviewing and updating IT policies, procedures and guidelines to support organisational needs and compliance requirements, including GDPR.
  • Support training and awareness initiatives on IT procedures and good practices.

Candidate profile

Additional assets

  • Exposure to ERP systems, ideally Odoo.
  • Interest in the humanitarian and development sector.

Experience

  • Currently enrolled in a degree programme in Switzerland, in IT science or a related field.
  • Interest in project management and in adapting IT systems to an organisation's needs.

Languages

  • Fluent English is mandatory. French is preferred.

Skills

  • Basic knowledge of IT infrastructure, software and cloud services.
  • Good working knowledge of both Mac and PC environments.

Soft skills

  • Strong organisational and communication skills.
  • Able to work collaboratively in a multicultural environment.
