How to Apply for Client Engagement Administrator

at NPAG

🏢 About NPAG

NPAG is a fully virtual executive search and consulting firm with over 20 years of experience helping mission-driven organizations—especially those in social justice—build diverse, effective leadership teams. What sets NPAG apart is its measurable commitment to equity: over 70% of its placements identify as BIPOC, two-thirds as women, and 92% remain in their roles after two years. Working here means joining a creative, family-friendly, remote-first team that values authentic relationships and long-term impact in the nonprofit sector.

About This Role

As a Client Engagement Administrator (CEA) on a Managing Director’s team, you’ll be the operational backbone for executive search and consulting engagements—managing schedules, coordinating client communications, and developing materials that help nonprofits find transformative leaders. This role is ideal for someone who thrives behind the scenes, loves project management, and wants to directly support social justice missions by ensuring seamless client experiences.

💡 A Day in the Life

A typical day might start with a quick team check-in via Zoom, followed by updating the Managing Director’s calendar, drafting a client update email, and preparing a candidate summary document. You’ll likely coordinate interviews across time zones, troubleshoot scheduling conflicts, and ensure all client materials are polished and delivered on time. Throughout, you’ll be the glue that keeps engagements running smoothly, allowing the team to focus on high-impact search work.

🎯 Who NPAG Is Looking For

  • 3–5 years of administrative, project coordination, or client support experience, preferably in a nonprofit, consulting, or executive search environment.
  • Exceptional organizational skills with the ability to juggle multiple calendars, deadlines, and stakeholders in a fully remote setting.
  • Strong written and verbal communication skills, with a knack for drafting polished client materials and maintaining professional correspondence.
  • Demonstrated commitment to social justice and comfort working with diverse teams and clients across the U.S. and globally.
  • Proficiency with virtual collaboration tools (e.g., Zoom, Slack, Asana, Google Workspace) and a self-starter attitude suited to remote work.

📝 Tips for Applying to NPAG

1

Highlight any experience supporting executive-level leaders or managing complex scheduling in a remote environment—NPAG’s Managing Directors work virtually, so show you can handle that dynamic.

2

Quantify your project management impact: e.g., 'coordinated 20+ client meetings per month' or 'reduced scheduling conflicts by 30%' to demonstrate efficiency.

3

Explicitly connect your values to NPAG’s social justice focus—mention specific nonprofits or causes you’ve supported, even if in an administrative capacity.

4

Use your cover letter to describe a time you proactively solved a client communication issue or streamlined a process, as the CEA role requires initiative.

5

Mirror NPAG’s language around 'healthy leadership transitions' and 'mission-driven organizations' to show you’ve read their materials and understand their niche.

✉️ What to Emphasize in Your Cover Letter

['Your ability to manage multiple projects and calendars for a senior leader, with concrete examples of tools and outcomes.', 'A specific story of how you’ve supported a client or team in a way that improved their experience or efficiency.', 'Your commitment to social justice and why working at a firm that prioritizes BIPOC and women leaders resonates with you.', 'Your comfort and success in remote, virtual team environments, including how you stay organized and communicative.']

🔍 Research Before Applying

To stand out, make sure you've researched:

  • → Explore NPAG’s website, especially their case studies and blog, to understand their executive search process and social justice clients.
  • → Look up the Managing Director you’d be supporting on LinkedIn to learn about their background, clients, and working style.
  • → Research NPAG’s diversity, equity, and inclusion commitments—beyond the stats, find recent statements or initiatives to discuss in your interview.
  • → Familiarize yourself with common executive search terminology (e.g., candidate slates, position profiles, client kickoffs) to hit the ground running.

💬 Prepare for These Interview Topics

Based on this role, you may be asked about:

1 How do you prioritize competing scheduling requests from multiple clients and a Managing Director?
2 Describe a time you had to draft or edit client-facing materials under a tight deadline—how did you ensure quality?
3 What does equitable client engagement mean to you, and how would you apply it in this role?
4 How do you handle confidential information and maintain discretion in a remote setting?
5 Give an example of a process you improved to make a team more efficient—what was the result?

⚠️ Common Mistakes to Avoid

  • Submitting a generic resume that doesn’t highlight administrative or project coordination experience—this role is highly operational.
  • Ignoring the remote-first aspect: failing to mention your ability to work independently and manage time zones shows a lack of fit.
  • Overlooking NPAG’s social justice mission—applying without referencing their focus on BIPOC and women leaders can make you seem misaligned.
  • Using overly formal or stiff language—NPAG values authentic, meaningful relationships, so let your personality and passion show.
