Position Summary The Administrative Contractor supports The Link's finance, operations, and board functions on a part-time contract basis. This role covers day-to-day administrative work, contractor onboarding and invoicing, merchandise and vendor coordination, and board meeting logistics. The right person is organized, dependable, and comfortable managing a mix of recurring and one-off tasks with limited hours each week. Qualifications Prior administrative or operations support experience, or equivalent experience. Comfortable handling invoices, contracts, and basic financial record-keeping. Strong organizational skills and attention to detail. Clear written and verbal communication. Ability to work independently within a limited weekly schedule and meet recurring deadlines. Experience with Google Workspace and Microsoft Office Suite. Trustworthy with confidential information, including contractor and board records. Support finance, operations, and administrative functions for The Diabetes Link, including invoice review, contractor onboarding, and board meeting coordination. Maintain shared inboxes and voicemail lines, routing messages to the appropriate staff member in a timely manner. Contractor Responsibilities Finance & Operations Support Monitor shared inboxes and route messages to the appropriate team member. Receive incoming voicemails and route them to the appropriate team member. Review invoices and confirm budget codes before submission for payment. Process contractor invoices and track submissions to keep payments on schedule. Coordinate contractor onboarding, including sending out contracts and setting up electronic payment accounts. Support finance and operations tasks as assigned, including record-keeping and documentation. Provide administrative support for events, as needed. Administrative & Vendor Support Coordinate merchandise shipment and communicate with external vendors on order fulfillment. Assist with customer service-related tasks, as needed. Complete administrative tasks as assigned, including research, data entry and management, and communication. Board of Directors Support Provide administrative support for board meetings, including scheduling, calendaring, materials preparation, attendance, and drafting meeting minutes. Assist with periodic board information collection, communications, and reminders. General Maintain regular communication with The Diabetes Link staff using designated communication channels, such as Slack and email. Support staff at The Diabetes Link by providing assistance, answering queries, resolving issues, and completing other administrative and finance and operations tasks as assigned. Compensation $25 per hour, up to 10 hours per week, to be invoiced to the Client by the Contractor on a monthly basis.
