**Job Description**
**The Position:**
To achieve the results of the Country Programme, a Programme Assistant is required, who will support the implementation of UNFPA activities, providing logistical, administrative and financial support, under the direct supervision of the Operations Manager and in coordination with the Assistant Representative.

**Job Purpose:**
The Programme Assistant supports the effective planning and execution of UNFPA programme activities, demonstrates a client- and results-oriented approach to interpreting rules, procedures and guidelines in relation to administrative and programmatic processes, while providing support to the country office (CO) and UNFPA-supported projects. The position involves supporting the implementation of the Programme and Projects, providing and managing data, providing logistical, administrative and financial support and monitoring activities. The Programme Assistant plays a key role in the implementation of programmes and projects, developing appropriate mechanisms and systems and ensuring compliance with established policies and procedures.
Support the Programme Analysts and Programme Technicians in the development of administrative activities related to their responsibilities.
**You would be responsible for:**
•
Provide administrative support for the elaboration of Annual Work Plans with implementing partners, including support for the management of disbursements, accountabilities and budget revisions.
•
Support the drafting of information materials, terms of reference and other relevant documents.
•
Provide logistical and administrative support in the organization and realization of travel, meetings, workshops and others, including quoting for services, materials and photocopies for events and follow-up on the submission of clearance documents (F10 forms, list of participants, conformity records, etc.).
•
Makee requisition requests in Quantum and payment requests in AODocs, ensuring that transactions have the supporting documentation and charges are made against the correct budget accounts.
•
Support the preparation of specifications and requests for purchases and send requests for quotations to suppliers.
•
Perform "supplier maintenance" functions in Quantum, ensuring timely registration of suppliers.
•
Support in the elaboration of budgets and cost estimates for the implementation of activities.
•
Ensure that contract, procurement and payment documentation is complete and guarantee the quality and integrity of the submission of physical programme documents, including digital repositories.
•

Verify the correct allocation of the Chart of Accounts (COA) and the availability of funds for new expenditures.
•
Draft letters and other programme documents and maintain a tracking system.
•
Carry out any other tasks that may be required.
•
Alternate with the Procurement Officer for shopping processes and with the Administrative Assistant for administrative processes, when required.
**Qualifications and Experience:**
**Education:**
Minimum of five years of experience in assistance projects, preferably in international cooperation organizations.
Completed secondary education is required. A first-level university degree in Business Administration, Public Accounting, or other relevant areas will be valued.
Excellent command of the Spanish language, including effective writing and communication skills.
**Knowledge and Experience:**
•
Work experience in logistical, administrative and financial areas.
•
Experience in collaboration with the Government, NGOs and civil society institutions.
•
Proficiency in MS Office software applications, Google suite.
•
Knowledge in the use of integrated corporate resource management systems in a web environment, desirable.
•
Good writing and communication skills.
