About the Role

The Program Coordinator, Grant Services will provide administrative support to the Grant Services team, ensuring the smooth operation of the team's activities and projects.

Responsibilities

  • Book and manage the team's travel and expense reporting
  • Purchase office supplies and resource materials needed by the team
  • Oversee and maintain the calendar for internal and external engagements for the Grant Services team
  • Manage and monitor sites and software platforms for team and cross-team information sharing, document management, and action commitments
  • Assist the team with implementing projects by drafting contracts, initiating purchase requests, and providing regular progress reports to stakeholders
  • Manage systems for delivering virtual and in-person meetings and trainings, including providing technical assistance and capturing meeting notes
  • Track budget action items and support submission of invoices related to the team's work
  • Support grant development activities including ensuring grant files are complete and reviewing pre-and post-award materials
  • Monitor and recommend changes to internal administration processes
  • Draft and proofread various grant-related, financial and contractual documents
  • Develop forms, collect data, create documents, and draft processes to support Grant Services team workflows

Profile

Required qualifications:

  • Associate's degree or five years of related experience
  • Administrative experience within a professional office setting
  • Experience coordinating and supporting system improvement
  • Minimum two years' experience in complex project management from initiation to completion
  • Exceptional written and oral presentation skills
  • Demonstrated ability to multi-task and manage several projects simultaneously
  • Practical experience with Microsoft Office 365 suite (Word, Outlook, Teams, Project, Excel, PowerPoint, SharePoint)
  • Experience with process mapping software is a plus
  • Demonstrated experience in event planning and implementation
  • Ability to build relationships and work collaboratively with others
  • Valid driver's license and ability to complete pre-employment background check
