POSITION PURPOSE:

Help plant the seeds of impactful marketing at One Tree Planted by bringing campaigns, projects, and creative ideas to life. The Marketing Operations Specialist plays a vital role in keeping the Marketing & Communications team organized, aligned, and moving forward supporting everything from campaign execution and reporting to quality assurance, creative coordination, and special projects. 


Working closely with cross-functional teams, this role helps ensure marketing initiatives are delivered on time, on brand, and with impact. You’ll support project planning, pull insights and reports, QA marketing assets, assist with one-off creative and copy needs, and contribute to special projects that help our work and forests flourish.

ESSENTIAL FUNCTION

Marketing Operations & Project Coordination (60%):

  • Own and maintain marketing and communications project plans and timelines in our project management software.
  • Manage  cross-functional collaboration between Marketing, Communications, Analytics, Development, and other departments to ensure seamless execution of campaigns and initiatives.
  • Actively monitor and steward project progress, identifying potential roadblocks, elevating risk and keeping deliverables on track.
  • Lead and facilitate team meetings, including agendas, notes, and action items.
  • Ensure appropriate flow of information by keeping project boards, timelines, and documentation up to date.
  • Maintain marketing documentation, including Google Drive, project files, knowledge centers, and reporting materials.
  • Support the creation and coordination of presentations for internal teams, leadership, and cross-functional stakeholders, including organizing content, formatting slides, and ensuring materials are accurate, polished, and on-brand.
  • Provide day-to-day operational support to the Marketing & Communications team to improve efficiency and workflow.


Reporting, QA & Team Support (40%):

  • Collaborate with Analytics to pull reports and summarize performance insights across campaigns, channels and initiatives.
  • Gather data, organize results, and document learnings to inform future marketing efforts.
  • Conduct quality assurance across marketing assets, including emails, web content, social posts, landing pages, and creative materials.
  • Help organize creative assets, manage version control, and prepare content for launch across digital channels.
  • Support special projects as assigned and strategic initiatives led by the Marketing Director and Chief Strategy & Marketing Communications Officer.


POSITION REQUIREMENTS:

EDUCATION: University or College diploma in Business, Marketing, communications, advertising, or a related field preferred


RELATED EXPERIENCE: Minimum 2 - 4 years experience in marketing coordination, project coordination, or a related role.

  • A system thinker who thrives on building, improving, and maintaining workflows bringing a highly critical eye to processes, details, and execution. 
  • Highly proficient with project management and collaboration tools (Airtable, Asana, Monday or similar).
  • Comfort working with analytics or reporting tools (GA4, dashboards, spreadsheets, or similar).
  • Ability to work collaboratively in a fast paced mission driven environment. 


SKILLS:

  • Highly proficient in project management platforms must be deeply versed in Asana, Airtable, Monday.com, or equivalent (daily power-user level, not casual familiarity).
  • Proficient in Canva for creating and formatting on-brand presentations, reports, and marketing collateral.
  • Comfortable building and iterating on workflows, SOPs, and process documentation from scratch.
  • Comfort working with analytics or reporting tools (GA4, dashboards, spreadsheets, or similar).
  • Advanced proficiency in Google Workspace (Sheets, Slides, Docs, Drive)  including spreadsheet formatting, data organization, and presentation design.
  • Strong organizational skills with the ability to manage multiple projects simultaneously and meet deadlines.
  • Strong QA mindset with an eagle eye for detail across copy, design, data, and digital assets.
  • Clear written and verbal communication skills, with the ability to synthesize complex information into simple, digestible formats.
  • Ability to work collaboratively in a fast-paced, mission-driven environment.

COMPENSATION & BENEFITS

COMPENSATION:  typical starting range is $56,000- $65,000 USD which will be based on skills and experience. This is an exempt position. Annual performance increase may be available but not guaranteed.
