How to Apply for Head of Operations / Chief Operating Officer

at Encode

๐Ÿข About Encode

Encode is a global, youth-led organization advocating for responsible AI development. As a nonprofit operating both 501(c)(3) and 501(c)(4) entities, it uniquely combines advocacy with compliance, offering a mission-driven environment where you can shape AI policy from the ground up.

About This Role

As Head of Operations/COO, you will own Encode's compliance, financial leadership, and operational infrastructure across two legal entities. This role is pivotal in enabling the organization to scale its advocacy impact while navigating complex regulatory landscapes, including lobbying registrations and political activity rules.

๐Ÿ’ก A Day in the Life

Your day might start with a compliance check on lobbying activities, followed by a budgeting meeting with the finance team. Afternoon could involve designing a new HR onboarding process for remote hires, then reviewing a vendor contract for advocacy tools. You'd end the day by updating the operations team on scaling priorities.

๐ŸŽฏ Who Encode Is Looking For

  • Experienced in operations leadership within nonprofit or advocacy organizations, particularly those with dual entity structures (501(c)(3) and 501(c)(4)).
  • Deep expertise in compliance, financial management (including Form 990), and HR systems tailored for remote, youth-led teams.
  • Proven ability to design scalable organizational structures and manage vendor relationships in a fast-paced, policy-driven environment.
  • Strong understanding of lobbying registration, political activity rules, and employment law as they apply to advocacy nonprofits.

๐Ÿ“ Tips for Applying to Encode

1

Highlight specific experience with 501(c)(3) and 501(c)(4) compliance, including Form 990 preparation and lobbying registration.

2

Demonstrate your ability to build HR systems from scratch, especially for a remote, global team.

3

Showcase your financial leadership with concrete examples of budgeting, audits, and financial planning for nonprofits.

4

Tailor your resume to emphasize operational scalabilityโ€”use metrics like team growth or budget increases you've managed.

5

Mention any familiarity with AI policy or youth-led movements to show alignment with Encode's mission.

โš ๏ธ Common Mistakes to Avoid

  • Focusing too much on for-profit experience without translating it to nonprofit compliance and advocacy contexts.
  • Ignoring the dual entity structureโ€”failing to address 501(c)(3) vs. 501(c)(4) rules in your application.
  • Overlooking the youth-led, remote nature of the teamโ€”avoid assumptions about traditional office dynamics.
