Position Summary The Mountain Lion Foundation is seeking a friendly, organized, and mission-driven Front Desk Specialist to serve as a welcoming first point of contact for visitors, supporters, volunteers, partners, and members of the public. The Front Desk Specialist will support the day-to-day administrative operations of the organization, ensuring that communications, office activities, scheduling, and visitor interactions are handled professionally and efficiently. This position is ideal for someone who enjoys helping others, stays organized in a busy environment, communicates clearly, and is passionate about wildlife conservation and protecting mountain lions and their habitat. Key Responsibilities Front Desk & Reception Welcome and assist visitors, volunteers, supporters, and guests in a professional and friendly manner. Answer, screen, and direct incoming phone calls and general inquiries. Monitor and respond to general organizational email and correspondence. Provide accurate information about The Mountain Lion Foundation, its programs, conservation work, events, and activities. Maintain a clean, organized, and welcoming reception and office area. Receive and distribute mail, packages, and other deliveries. Administrative Support Provide general administrative support to staff and leadership. Maintain calendars, schedules, contact lists, files, and office records. Assist with meeting preparation, scheduling, and coordination. Prepare correspondence, documents, reports, forms, and other materials as needed. Assist with data entry and maintaining accurate organizational records. Order and maintain office supplies and coordinate routine office needs. Assist with processing donations, memberships, correspondence, and supporter materials as assigned. Supporter & Public Relations Provide courteous and timely assistance to donors, members, volunteers, and members of the public. Help direct inquiries to the appropriate staff member or department. Support communications with supporters and community partners. Assist with mailing campaigns, educational materials, membership communications, and other outreach activities. Represent The Mountain Lion Foundation in a positive, professional, and mission-aligned manner. Events & Programs Provide administrative and logistical support for organizational meetings, events, workshops, and outreach activities. Assist with event registration, materials, communications, and follow-up. Support staff with preparation and coordination of conservation and educational programs as needed. Other Duties Maintain confidentiality of organizational and supporter information. Follow organizational policies and procedures. Work collaboratively with staff, volunteers, board members, and external partners. Perform other administrative and operational duties as assigned. Qualifications Required High school diploma or equivalent; additional education or training in business administration, communications, nonprofit management, or a related field is a plus. Previous experience in reception, customer service, administrative support, office administration, or a related role. Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Professional, friendly, and service-oriented approach. Ability to manage multiple priorities and meet deadlines. Proficiency with standard office software, email, calendars, and online communication tools. Ability to work independently while also collaborating effectively with a team. Commitment to professionalism, confidentiality, and excellent service. Preferred Experience working for a nonprofit organization, conservation organization, animal welfare organization, or environmental group. Familiarity with donor/member databases or CRM systems.
