The Finance Manager serves as the primary driver of day-to-day financial operations for a portfolio of client organizations. This role is responsible for managing the full accounting cycle, overseeing bookkeeping workflows, and ensuring timely, accurate financial reporting. Working closely with the Controller and Fractional CFO, the Finance Manager ensures that financial data is complete, organized, and reliable—forming the foundation for compliance, strategic insight, and client decision-making. This role will be no more than 20 hours each week. Key Responsibilities Financial Operations & Reporting Manage the classification and recording of financial transactions across client accounts Maintain accurate financial records and general ledgers Prepare monthly financial statements and supporting reports for client organizations Audit financial data and transactions (payroll, cash receipts, AP/AR) to ensure accuracy and completeness Retrieve and organize bank, credit card, and other financial statements for reconciliation Bookkeeping Team Oversight (Including Offshore Team) Oversee day-to-day work of bookkeeping team Conduct regular check-ins (1–2x per month minimum) with bookkeeping team leads Monitor deliverables, including reconciliations and 1099 preparation Ensure work is completed accurately, on time, and aligned with client needs Provide guidance and clarification on coding, classifications, and processes Payroll & Benefits Administration Process payroll (bi-weekly or semi-monthly) in accordance with client contracts Collect and validate timesheets or payroll data from client representatives Manage retirement contributions, including 403(b) and IRA plans Support annual Form 5500 preparation in collaboration with senior finance team members Utilize platforms such as Gusto, ADP, and Paychex Client Service & Communication Serve as a day-to-day contact for client financial operations and inquiries Conduct regular client check-ins as defined in service agreements Ensure high levels of client satisfaction through responsiveness and reliability Escalate complex issues or risks to the Controller or CFO as appropriate Coordination & Data Management Ensure all financial data is complete and ready for Controller review Maintain organized documentation for audits, reporting, and compliance Coordinate with internal team members to meet deadlines and deliverables Special Projects & Support Assist with ad hoc projects and client needs as assigned Support process improvements and implementation of new tools or workflows Provide coverage for bookkeeping functions when needed Team Support & Coverage Provide coverage for Finance Manager responsibilities during periods of leave or increased workload Collaborate across roles to ensure continuity and consistency in client service Qualifications Bachelor’s degree in Accounting or related field preferred Minimum of 5+ years of accounting experience Nonprofit accounting experience required Experience with QuickBooks Online and Sage Intacc Experience with Gusto, ADP, or Paychex preferred Experience managing multiple clients and deadlines simultaneously Core Competencies Strong attention to detail and organization Solid understanding of accounting principles and nonprofit operations Ability to manage workflows and delegate effectively Clear communication and client service skills Adaptability and willingness to support across functions
