How to Apply for Executive Assistant to E.D.

at IAJE

๐Ÿข About IAJE

IAJE is a grassroots nonprofit founded in 2019 that focuses on empowering immigrant communities in Mississippi through popular education and organizing. Working here means joining a small, mission-driven team dedicated to racial and social justice, with a unique focus on the Deep South.

About This Role

As the Executive Assistant to the E.D., you'll be the backbone of the leader's daily operationsโ€”managing schedules, communications, and special projects. This part-time remote role is critical for ensuring the E.D. can focus on high-impact advocacy and organizing work.

๐Ÿ’ก A Day in the Life

You'll start your day by checking the E.D.'s calendar and emails, flagging urgent items. You'll coordinate a few meeting invites, book travel for an upcoming conference, and update a confidential contact database. In the afternoon, you might help prepare materials for a virtual community meeting or order supplies for an in-person event.

๐ŸŽฏ Who IAJE Is Looking For

  • A proactive organizer who is deeply committed to immigrant and racial justice, with experience in or passion for grassroots movements.
  • Exceptionally organized and detail-oriented, able to juggle calendar management, travel logistics, and confidential files without missing a beat.
  • Tech-savvy with Google Suite expertise (Docs, Sheets, Calendar, Drive) and comfortable maintaining databases and contact lists.
  • Reliable and independent, with a valid driver's license and vehicle for occasional in-state tasks (even though the role is remote).

๐Ÿ“ Tips for Applying to IAJE

1

In your cover letter, explicitly connect your personal or professional experience to IAJE's mission of immigrant empowerment and racial justice.

2

Highlight specific examples of managing a busy executive's calendar and travelโ€”include tools used (e.g., Google Calendar, TripIt) and how you handled conflicts.

3

Since the role involves confidential files, mention your discretion and any experience with sensitive data (e.g., HIPAA, donor records).

4

Tailor your resume to show part-time or flexible work experience, demonstrating you can balance multiple priorities remotely.

5

Research IAJE's recent campaigns or events (e.g., Know Your Rights workshops) and mention how you could support the E.D. in those efforts.

โœ‰๏ธ What to Emphasize in Your Cover Letter

["Your alignment with IAJE's values: social justice, racial equity, and immigrant empowerment.", 'Your organizational superpowers: specific examples of managing schedules, travel, and special projects for a leader.', 'Your comfort with remote work and ability to work independently while staying connected to a small team.', 'Your willingness to occasionally drive for in-person needs (e.g., picking up supplies or attending events).']

โš ๏ธ Common Mistakes to Avoid

  • Don't submit a generic applicationโ€”avoid vague phrases like 'I'm a great multitasker' without specific examples tied to this role.
  • Don't overlook the driver's license requirement; if you don't have reliable transportation, don't apply.
  • Don't ignore the part-time nature; make sure you can commit to the hours and aren't overcommitting to other roles.
