Job Description - Event Coordinator, Full-Time About Liz Page Associates Founded in 1994, Liz Page Associates is a highly regarded special event consulting firm that specializes in signature event production for nonprofit organizations, academic institutions and corporate clients. Important to note about this Boston-based position The work at LPA is remote with employees and contract staff working from their home offices, except for in-person event and preparation days, site visits, and occasional meetings. The ideal candidate should live within approximately 30 miles of Boston, have their own vehicle, and be available to work select nights, weekends and travel occasionally. Job responsibilities support LPA event producers by executing a wide range of event-related deliverables across multiple projects, including event research, logistics coordination and administrative support serve as a representative of LPA by interacting directly with clients, vendors, sponsors and volunteers in a professional and responsive manner participate in virtual meetings (and, as needed, in-person meetings) with clients; prepare detailed meeting notes, action items and any other follow-up documentation collaborate with graphic designers to develop and produce event materials, including invitations, signage, programs and digital assets negotiate and manage contracts with production and décor vendors; coordinate with venues, function facility staff and additional vendors to ensure event requirements are met coordinate speakers, including scheduling, presentation materials, travel arrangements and on-site needs manage sponsor and exhibitor logistics, including benefits fulfillment, timelines and on-site coordination oversee a variety of technology vendors, including registration and payment platforms, event apps and other related tools manage guest registration processes and prepare attendee materials prior to events maintain and update event budgets, track expenses and reconcile costs prepare, pack and transport event day materials from the LPA office to event site play an active role in day-of-event management, including on-site logistics, vendor coordination, timeline management and troubleshooting additional duties and responsibilities as required to support the successful execution of events Company responsibilities assist, as needed, with content coordination and posting for LPA’s social media accounts, including LinkedIn, Facebook and Instagram The successful candidate will demonstrate the following skills and experiences : college degree preferred but not required minimum of one year of event-related professional experience attention to detail is essential ability to prioritize and manage multiple projects, sometimes with conflicting deadlines willingness to take on a wide variety of tasks that will vary throughout the life of a project excellent written, verbal and customer service skills proficiency with G Suite, Microsoft programs, and a willingness to learn new programs and become proficient with Apple computers ability to lift up to 50 lbs.
